REGISTRATION AND PAYMENT POLICY
Welcome to Sedice! Here’s what you need to know about signing up and paying for your classes.
Registration
We’re thrilled to have you join us at SEDICE! To get started, please register online after completing the placement test. This ensures you’re all set before participating in our classes.
As part of registration, please take a moment to review and agree to our Terms and Conditions, Privacy Policy, and Registration and Refund Policy. We also ask for your consent regarding:
- Use of school equipment if needed
- Photo release
Once you’ve registered, we’ll send you a copy for your records and keep one on file. If you need any assistance, feel free to reach out to us at info@sedice.org.
When to Register
You can register online between the first week of July and the last week of August for the Fall Term, and between the first week of December and the last week of January for the Winter Term. If you need to register outside these periods, simply contact us to get the link.
Payments
To make sure everything runs smoothly, please ensure your payments are made before participating in classes. Additionally, don’t forget to purchase your books before attending the first class.
Payment options include:
- Online by Credit card or Debit card
- E-transfer by emailing: info@sedice.org
Refund Policy
We understand that plans can change, and you might need to reconsider enrolling in our Spanish classes. To help you with this, we’ve put together a clear and fair refund policy.
If you need to withdraw from a class, please send a written notice to the Principal, including the student’s name, class, and reason for withdrawal.
Refund Details
Refunds are based on when you withdraw:
- 100% before the first day of class, less processing fees.
- The cost of all classes held prior to the withdrawal notification, whether attended or not, will be deducted.
- Absence (non-attendance) from class is not considered a notification of withdrawal.
- By the third week of each term: No refunds, but partial credit may be given for future classes in case of illness or other significant reasons.
- Please note, A 10% administration fee will be deducted for processing the refund.
Discounts and Fee Adjustments Fees
Sedice aims to make Spanish language and cultural education accessible to families while maintaining the sustainability of our programs.
Sibling Discount
Families enrolling more than one child or youth in Sedice classes are eligible for a sibling discount. A reduction of $50 per sibling, per term may be applied. This discount applies to children and youth programs only.
Full-Year Payment Discount
A $30 discount is available to families who choose to pay tuition for the full academic year in a single payment.
Discounts are non-transferable and cannot be combined unless otherwise stated.
Inclement Weather and Class Continuity Policy
This policy applies to all staff, instructors, volunteers, students, parents/guardians, and Board members. Sedice prioritizes the safety of its community while striving to maintain instructional continuity whenever possible.
Decision-Making
The decision to cancel in-person classes due to inclement or anticipated severe weather rests with the Principal, who may consult with instructors as needed. Decisions made by the Halifax Regional Centre for Education regarding school closures may serve as a reference point, though Sedice reserves the right to make independent decisions based on its specific context.
Communication
When possible, a decision regarding the cancellation of in-person classes will be made no later than noon on the day of the class. All affected parties will be notified by 2:00 pm via email and/or Sedice’s official communication channels (including social media).
Instructors are responsible for notifying students and/or parents or guardians at least one hour before the scheduled class time and for sharing access details if the class is moved online.
Online Instruction and Make-Up Classes
Whenever feasible, cancelled in-person classes will be replaced with an online session using platforms such as Zoom, Google Meet, or Microsoft Teams.
If an online replacement is not possible, the class may be rescheduled for a make-up date before the end of Sedice’s fiscal year, subject to instructor and space availability.
Sedice makes every reasonable effort to complete the full 10-week term. In exceptional circumstances beyond the school’s control, some classes may need to be cancelled. In such cases, no refunds will be issued for classes that cannot be rescheduled.
School Safety Policy
Sedice is committed to providing a safe, welcoming, and respectful learning environment for all members of its community. This policy applies to staff, instructors, volunteers, students, parents/guardians, and Board members.
First Aid and Emergency Preparedness
- At least one staff member or instructor present during class hours must hold a valid First Aid certification.
- First Aid certification must have been obtained within the past five years.
- If no certified staff member is available, Sedice will cover the cost of certification for a staff member who volunteers to obtain it.
- The Principal is responsible for ensuring that staff are informed of the location of the First Aid kit and basic emergency procedures.
- Emergency contact information must be provided for all students.
- Any accidents or incidents occurring during Sedice activities must be reported to the Principal.
- Sedice reserves the right to update safety procedures as needed to reflect best practices and community needs.
Photo Release
By participating in our school, you grant Sedice permission to use your image (including still photography, video, electronic media, print publications, and websites) for appropriate purposes. This consent is given without expectation of compensation. If you prefer not to participate, please contact info@sedice.org to discuss your options.
Privacy and Communications
By registering for classes, at Sedice, you consent to receive both essential and non-essential communications.
- Essential Communications: Required for full participation in classes and necessary for service provision.
- Non-Essential Communications: Includes information about events, fundraisers, and general updates about Sedice.
Your consent ensures you stay informed about all aspects of our programs.
